Meetings, notices and getting a decision to stick

A decision only counts if it was properly called, properly recorded, and can be shown later. That is mostly a paperwork problem.

Disputes in societies rarely turn on whether a decision was sensible. They turn on whether notice was given, whether quorum was met, and whether anyone wrote it down.

Calling it properly

Notice with enough time

AGMs need clear notice to every member, sent and evidenced — not a poster in the lift.

An agenda members can see

Items circulated in advance, so nothing is sprung at the meeting.

Reaching everyone

Notices go by email and WhatsApp as well as the app, with a record of who was sent what.

Making it count afterwards

Minutes

Resolutions recorded against the agenda and kept in the minutes book.

Polls and e-voting

For matters that need a vote without assembling everyone, with the result recorded.

Committee register

Who holds which office and since when — asked for more often than you would expect.

The point of the trail

When a member challenges a decision two years on, the answer is a notice, an agenda, an attendance and a minute — not a recollection.
